BLOOMSYSTM LLC ("BloomSystm," "we," "us," or "our") respects your privacy. This Privacy Policy explains what information we collect, how we use it, when we share it, and the choices you have. It applies to our website, our forms, customer accounts, product purchases, onboarding, and the systems we build and operate for our customers. By using our website or services, you agree to this Privacy Policy and to our Terms & Conditions.

1. Who We Are

BloomSystm builds better business systems — including ready-built systems, custom software, automations, AI-powered workflows, dashboards, websites and web applications, integrations, and customer portals. This policy covers information we handle as a business (about visitors, prospects, and customers) as well as information we process on behalf of our customers when we build or operate a system for them.

2. Information We Collect

Information you give us.

  • Contact and consultation forms: name, business name, email address, phone number, and anything you choose to tell us about your business.
  • Business growth assessments and discovery forms: information about your operations, tools, workflows, team, goals, and challenges.
  • Customer accounts: your name, email address, and authentication details used to verify your identity.
  • Purchases: billing name, billing address, email, phone, the product purchased, and the amounts charged.
  • Onboarding forms: business details, branding information (logos, colors, names, content), system preferences, team members, and configuration choices needed to set up your system.
  • Support and communications: messages, requests, attachments, and correspondence with us.

Information collected automatically. When you visit our website we may collect device and usage information such as IP address, browser type, pages viewed, referring pages, and general location, using cookies and similar technologies.

Information from third parties. We may receive information from payment processors, authentication providers, analytics providers, and integrations you authorize (such as a CRM, calendar, email, or messaging platform).

Payment information. We do not collect or store full payment card numbers. Payments are processed by a PCI-compliant payment processor, and we receive only limited details such as confirmation of payment, the last four digits, and transaction identifiers.

3. How We Use Information

  • Respond to inquiries, consultation requests, and support requests.
  • Create and secure customer accounts, and verify your identity through email verification codes.
  • Process purchases, setup fees, subscriptions, invoices, and refunds.
  • Deliver, configure, customize, and support your ready-built or custom system.
  • Operate automations, AI-assisted workflows, dashboards, integrations, and portals within your system.
  • Improve our products, services, website, and customer experience.
  • Send service and transactional messages about your account, purchase, onboarding, and systems.
  • Send marketing communications where permitted, which you can opt out of at any time.
  • Protect against fraud, abuse, and unauthorized access, and comply with legal obligations.

4. Customer Accounts and Email Verification

Accounts are protected using email-based verification. Verification codes are time-limited, single-use, and rate-limited to help prevent unauthorized access. You are responsible for keeping access to your email account secure and for any activity that occurs under your account.

5. Onboarding, Business, and Branding Information

After a purchase, we collect the information needed to configure your system — business details, branding assets, preferences, and team access. You retain ownership of your business content and branding assets. We use them only to build, configure, support, and improve the system we deliver to you, and as otherwise described in this policy.

Please do not submit sensitive personal information, protected health information, government identification numbers, or financial account credentials through onboarding forms unless we have expressly agreed in writing to receive that information under an appropriate compliance arrangement.

6. AI-Powered Features

Some systems include AI-assisted automation such as drafting messages, summarizing records, categorizing information, or triggering workflows. Information may be processed by trusted AI service providers to perform these functions. AI output can contain errors and should be reviewed by a person before it is relied upon for important decisions.

7. Third-Party Integrations

Where you connect a CRM, calendar, email provider, messaging platform, payment provider, storage provider, or other tool, information is shared with that provider to make the integration work. Those providers handle your information under their own privacy policies and terms, which we encourage you to review.

8. When We Share Information

We do not sell your personal information. We share information only:

  • With service providers who support our business — hosting, database, payment processing, email delivery, SMS delivery, analytics, and AI processing — under obligations of confidentiality.
  • With integrations you authorize.
  • With professional advisors, or in connection with a merger, acquisition, or sale of assets.
  • When required by law, legal process, or to protect the rights, safety, and property of BloomSystm, our customers, or others.
  • With your consent or at your direction.

9. Cookies and Analytics

We use cookies and similar technologies to keep you signed in, remember preferences, measure site performance, and understand how our website is used. You can control cookies through your browser settings; disabling some cookies may affect how the website or your account works.

10. Data Security

We use administrative, technical, and organizational safeguards designed to protect information, including encrypted connections, access controls, role-based permissions, database-level access rules that separate each customer's data, and vetted infrastructure providers. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

11. Data Retention

We keep information for as long as needed to provide our services, maintain your account and systems, meet legal, tax, and accounting obligations, resolve disputes, and enforce our agreements. When information is no longer needed, we delete or de-identify it. You may request deletion as described below, subject to records we are required to keep.

12. Marketing Communications

With your permission, we may send emails about services, products, updates, and offers. You can unsubscribe at any time using the link in the email or by contacting Beth@BloomSystm.com. We will still send transactional messages related to your account, purchases, and systems.

13. A2P Messaging Policy (SMS)

If you provide your mobile number and opt in, BloomSystm may send SMS messages such as appointment reminders, onboarding updates, account or system notifications, and — where you have separately consented — occasional informational or promotional messages.

SMS consent is not shared with third parties or affiliates for marketing purposes, except with SMS providers and mobile carriers as necessary to deliver the messages you have requested.

No mobile information, text messaging originator opt-in data, or SMS consent will be shared with third parties or affiliates for their own marketing or promotional purposes.

  • Opt out: reply STOP to any message to stop receiving SMS messages. You may receive a single confirmation that you have been unsubscribed.
  • Help: reply HELP for assistance, or email Beth@BloomSystm.com.
  • Message frequency varies. Message and data rates may apply. Carriers are not liable for delayed or undelivered messages.

Consent to receive SMS messages is never a condition of purchase. Our SMS practices are governed by this Privacy Policy and our Terms & Conditions.

14. Your Privacy Rights

Depending on where you live, you may have the right to request access to the personal information we hold about you, request correction or deletion, object to or restrict certain processing, request a copy of your information, and opt out of marketing. Washington residents and residents of other states with privacy laws may have additional rights. We do not sell personal information and we do not discriminate against you for exercising your rights.

15. Children's Privacy

Our website and services are intended for businesses and adults. We do not knowingly collect personal information from children under 13. If you believe a child has provided us information, contact Beth@BloomSystm.com and we will delete it.

16. Changes to This Policy

We may update this Privacy Policy from time to time. The "Last Updated" date above shows when it was last revised. Continued use of our website or services after an update means you accept the revised policy.
